1. Personal Responsibility

• Each participant is responsible for their own actions, belongings, and behavior during the trip.
• Any damages caused to property, venues, or equipment must be reported immediately and will be paid for by the responsible individual.

2. Respectful Behaviour

• Harassment, offensive comments, discrimination, or any inappropriate behaviour will not be tolerated.
• Participants must treat fellow travellers, organisers, and locals with respect at all times.

3. Safety & Compliance

• Leaving the event or trip without prior permission from an Organizing Committee (OC) member is strictly prohibited.
• Participants must follow all instructions given by the OC for safety and organizational purposes.

4. Liability

• ESN Cyprus and the organisers are not responsible for any personal injuries, lost items, or incidents that occur due to negligence or failure to follow these rules.
• Participants assume full responsibility for their own health, safety, and conduct during the trip.

5. Alcohol & Substance Policy

• Consumption of alcohol or substances must comply with local laws and regulations.
• Any behaviour resulting from misuse that endangers others or disrupts the event will lead to immediate removal from the trip at the participant’s expense.

6. Emergency Situations

• In case of emergencies, participants must immediately inform an OC member and follow their instructions.

7. Photography & Media Consent

• By participating, you consent to being photographed or filmed during the trip for ESN Cyprus promotional purposes (social media, website, reports).
• If you do not wish to appear in photos or videos, you must inform the OC in writing before the event.

8. Data Protection (GDPR Compliance)

• ESN Cyprus will collect and process your personal data (e.g., name, contact details) solely for organisational purposes related to the trip.
• Your data will not be shared with third parties except when required for safety or legal compliance.
• You have the right to request access, correction, or deletion of your data by contacting the OC.

9. Health & Insurance

• Participants are responsible for having valid health insurance and any necessary travel documents.
• ESN Cyprus does not provide insurance coverage for accidents, illness, or theft.

10. Code of Conduct

• ESN Cyprus promotes intercultural exchange and inclusion. Any violation of these principles may result in removal from the trip without refund.

11. Refunds & Cancellations

• Refunds are only possible under conditions specified by ESN Cyprus and may be subject to administrative fees.
• No refunds will be issued for removal due to violation of these Terms & Conditions.

12. Ticket Requirement

• Participants must have their valid ticket (digital or printed) on the day of the trip to attend.
• Failure to present a valid ticket may result in denial of participation without refund.
